1. Who we are

Nexession LLC ("Nexession," "we," "us") provides an automated accessioning platform for clinical and diagnostic laboratories. This policy covers nexession.com and the pages it serves (the "Site"). It does not cover the Nexession product or any PHI we process on behalf of laboratory customers; that processing is governed by HIPAA and by the Business Associate Agreement signed with each customer.

2. Information we collect

Information you provide

• Demo bookings. If you book a demo through our scheduling page (hosted by Microsoft Bookings), you provide your name, work email, organization, and answers to short qualification questions (your LIS, approximate paper volume, your role).
• Pilot and contact requests. Our forms open a prefilled email in your own mail program; the information is sent to us only if you choose to send that email. This Site does not store form submissions itself.

Information collected automatically

• Cloudflare Web Analytics. Aggregate, cookieless measurement of page views, referrers, and approximate geography. It does not track you across sites or store identifiers on your device.
• Google Analytics. Usage data such as pages visited, session duration, device and browser type, and approximate location, collected using cookies. See "Cookies" below.
• Hosting logs. Our host (Cloudflare) processes IP addresses and request metadata to serve and secure the Site.

3. Cookies

The Site itself sets no cookies. Google Analytics, when enabled, sets its standard measurement cookies (for example, identifiers used to distinguish visits). You can control cookies through your browser settings, and you can opt out of Google Analytics specifically with Google's browser opt-out tool (tools.google.com/dlpage/gaoptout). The Site remains fully functional without cookies.

4. How we use information

• To respond to demo, pilot, and contact requests, and to schedule and prepare for meetings you book.
• To understand how the Site is used and improve its content and performance.
• To protect the Site against abuse and to comply with legal obligations.

We do not sell personal information, and we do not use information collected through this Site for advertising.

5. Who we share it with

• Service providers. Cloudflare (hosting, analytics), Google (analytics), and Microsoft (email and demo scheduling on Microsoft 365). Each processes information on our behalf under its own terms.
• Legal. If required by law, legal process, or to protect our rights, we may disclose information to authorities or advisors.

6. Retention

We keep correspondence and booking information as long as needed for the purpose it was provided, and then delete or archive it. Aggregate analytics are retained per the analytics providers' standard settings.

7. Your rights and choices

You may request access to, correction of, or deletion of personal information you have sent us by emailing [email protected]. If you are a resident of a state with a comprehensive privacy law (such as California, Colorado, Connecticut, or Virginia), you may have specific statutory rights, and we will honor verified requests consistent with those laws. We do not discriminate against anyone for exercising a privacy right.

8. Protected health information

This Site is not intended to receive PHI, and you should not submit any patient information through it. When Nexession processes PHI for a laboratory customer, it does so as a business associate under a signed Business Associate Agreement, inside a covered environment with the safeguards described on our Security page. Nothing on this Site creates a business associate relationship.

9. Children

The Site is a business-to-business site and is not directed to children under 16. We do not knowingly collect information from children.

10. Security

The Site is served over TLS. Information you email us is handled in our Microsoft 365 tenant with access limited to authorized team members. No method of transmission is perfectly secure, so please use your judgment about what you send.

11. Changes

We will post any changes to this policy on this page and update the effective date above. Material changes will be flagged on the Site.
